<p>There needs to be justification and a paper trail, keeping the written assessment, that gives proof that a student is at level or above. Met the standards at the level that they are leaving.</p>
<p>The portfolio requirements and timeline will be emailed out.</p>
<p>Some directors are concerned that the All State 9-10 solos will be too intimidating</p>

<p><strong>Repairs</strong></p>
<p>Working on making turn around time faster. Using Don’s Music City for repairs because budget ran out for Moore and Music and Arts.</p>
<p>If you have repairs that are not up to standard let Ian Keith and Nathan know immediately.</p>
<p>If you have outstanding repairs let Nathan Know.</p>
<p>Each school is sent to a company. Since we ran out of budget we can not open up an account for the same company that is why we went with Don’s.</p>
<p>Haven’t used all the allocation for the store that assigned to but now that the budget has ran out have to send instruments to some unknown store.</p>
<p>Will be fixed for next year, some schools will be switched over if a request is made. May be approved or denied.</p>
<p>There will be a repair workshop at All County that will go over repair kits.</p>
<p><strong>Proficient Level Assessment:</strong></p>
<p>The honors credits passed, students can now take more than two classes in an arts discipline with honors credit.</p>
<p>Beginner, Intermediate, Proficient, Advanced.</p>
<p>Current Class Names</p>
<p>Advanced Band</p>
<p>Concert Band I</p>
<p>Concert Band II</p>
<p>Wind Ensemble</p>
<p>Jazz Band in the future this will be called Music Specialization and can be used for any small ensemble like percussion ensemble.</p>
<p>AP Music Theory</p>
<p>Classes can be mixed between honors and regular courses.</p>
<p>Students that move in to a new school must be assessed within the first 10 days to determine where they should be.</p>
<p>8<sup>th</sup> grade students who want to be considered at the proficient level have to have met the intermediate standards to receive honors credit. They have to take the GCS Band Leveled Assessment and pass.</p>
<p>Middle school directors are a key component in this new process. They will give an assessment in May that will determine if 8<sup>th</sup> graders will bypass into proficient level. There needs to be an open dialogue between the middle and high school director.</p>
<p>It would be helpful to make a new form for guidance counselors that includes what instrument they play so the high school director can see.</p>
<p>The foreign language departments are already doing these types of assessments.</p>
<p>We have to keep the instrumentation different from playing level.</p>
<p>If students that are in 8<sup>th</sup> grade who have not met the beginner level standards they can be placed in the beginner level.</p>
<p>Can we say if students make all county can they make all county and central district.</p>
<p>Not agreed on. It is too late to use that now because students were not told in advance.</p>
<p>Concerns that we might have too many students try out just to try to get the honors credit.</p>
<p>The orchestra directors have decided to have the county requirements and use the county rubric and do an audition that is a recorded incase there is a challenge so they can bring it in to meeting to be judged if contest. They must re-audition and have to bring in the recording to a committee. Doing the all county requirements. Meet the high school solo 150 out of 180.</p>
<p>Recommendation made that percentile baseline used from all county band score.</p>
<p>If we use the high school requirements then we need to use the 9-10 All State requirements because it seems less difficult.</p>
<p>Middle schools programs can benefit if their 8<sup>th</sup> grade students that want to get honors credit. They would need to learn the all district middle school scales.</p>
<p>Have something that demonstrates that they can read different levels of rhythms.</p>
<p>The sight-reading factory is a great place to get generated sight-reading. The license is $30 a year.</p>
<p>Concern about how long the assessment will be.</p>
<p>Don’t have to do all the components at the same time.</p>
<p>Students will have to be assessed by May.</p>
<p>There should be a test going from one level to the next. Right now there is not one established.</p>
<p>Scales and Chromatic from Central District 8<sup>th</sup> Grade</p>
<p>Solo All State Solo from All State 9-10 Band</p>
<p>Sight-reading- Generate from Sight Reading and post on Share Point</p>
<p>Music Theory Survey: Written Assessment: Terms- Dynamics, Tempo, Style, Expression, time signatures (identification: put in the bar lines; fill in the blank; fill in the top and bottom of the time signature), key signatures, sharp, flat, and natural signs.</p>
<p>Percussion: What do they do, one instrument or all? -How many HS have all proficient players?</p>
<p>For now (later we will need to revise) percussionist will have to only audition on one instrument.</p>
<p>HS Directors disagree. Students should be able to play all percussion instruments.</p>
<p>Can be amended next year.</p>
<p>Are we going to give this assessment this year?</p>
<p>Going forward this year with what we have established. In the future a middle school student that makes all state then they should not have to re-audition.</p>

<p><strong>All County Procedures and Guidelines Handbook<br />
</strong>Nathan </p>
<p>The All County Procedures and Guideline Handbook has been presented to Academic Committee last Wednesday. It has been deferred to the Principals meeting.  The Principals will review and vote to approve. The handbook is not opened up for changes; it is to be voted on as is. </p>
<p>Ed. Do we need to be cleaned up the language about the band enrollment and eligibility?</p>
<p>Open Discussion:</p>
<p>Choral members that take private lessons were discussed.</p>
<p>Language needs to be as clear as possible. </p>
<p>For instrumental or band/orchestra class only was discussed.</p>
<p>All county is an encouragement for students to take our band classes was discussed.</p>
<p>We need to follow the rules of Central District Bandmasters Association Guidelines. </p>
<p>These experiences are curricular extensions of your classroom.  If you are not in the classroom you are not extending the classroom. </p>
<p>Should we do a separate handbook for jazz?</p>
<p>Nathan- No. The handbook is basically done. There are clauses that are available to change.  Jazz band is not included in the handbook.</p>
<p>The possibility of taking string bass out of the instrumentation of the All County Band was discussed. </p>
<p>The need for flexibility for jazz band was discussed. </p>
<p>Nathan- We are on par with what the district and the state uses and we cannot go less than what they do.  We have put the clause in that the class has to meet 135 block hours and 150 traditional hours.</p>
<p>Decided to keep the wording as band in the handbook.  </p>
<p>Discussion was held about parent concerns about All County Band Eligibility. </p>
<p><strong>All County Band<br />

<p>Will be held Feb. 7<sup>th </sup>at Harriston Middle School</p>
<p>The registration cards are printed and ready to go.</p>
<p>There is still a need for 7 more judges to fill rooms to guarantee that we will finish around 8pm.</p>
<p>If you have students who are not going to audition you do not have to let Jeremy know.</p>
<p>You can start arriving at 3:30pm, meet in the media center. 4pm the meeting must start on time.</p>
<p>Registration is in the multipurpose room for students who are auditioning. </p>
<p>Nathan will let the Principals know to allow an early release.</p>
<p>Bb, Eb, Ab, and F is the scale order in concert pitch.</p>
<p>MS trumpet is the only room that will run to 8pm.  Everyone else should be finished before then. </p>
<p>The scores sheets are color coated.  MS sheets are yellow and HS sheets are blue.</p>
<p>The tote sheet will go to the highest number of students registered so you will know how many students are registered to audition for that room. </p>
<p>Registration Cards are the same color; Yellow for MS students and blue for HS students.</p>
<p>Please talk to your students about their registration card and it is important that <em>they</em> hold on to card</p>
<p>It was put on the room helper sheet that if students who are audition don’t have a card they don’t audition. </p>
<p>We have enough helpers.</p>
<p>We may need to look into the rooms through the door windows to make sure students are not taking pictures with their phone of the sightreading piece. </p>
<p>Stands should be facing the door so someone can look in. </p>
<p> <strong>Please bring a stand for your room.</strong></p>
<p>When you are judging please use only whole and half points. The scoring program is set up to use only whole and half points. </p>
<p>If you are a tympani judge it’s right 6, half right 3, or wrong 0.</p>
<p>When percussionists are reading sightreading they are not allowed to play on their legs or on the stand.  They can only air stick.</p>
<p>Solo requirements- please read and check</p>
<p>Students only have to read the first two pages.</p>
<p>Take note: tuba has two different parts but is 3 pages long. The first part is one page and the second part they only have to read the first page.</p>
<p><strong>High School Registration Book<br />

<p>Middle School directors are vital part to this new registration system working.</p>
<p>If the student has little or no experience then they have to go in at beginning level</p>
<p>If they have k-8 with an audition they can go into concert band, jazz band.</p>
<p>It would it be possible for an extremely good student to skip to advanced level.</p>
<p>After students reach proficient they would receive honors credit.</p>
<p>This recommendation will go this month and if it is voted and approved it will go into effect next year.</p>
<p>All four credits or 8?</p>

<p>Don’t know.</p>
<p>Race to the top is expected that next year all arts courses will give an assessment. A state assessment exam for arts courses.</p>

<p>Yes but classes can potentially be combined and students don’t have to take the track in order. </p>
<p>8<sup>th</sup> grade year is going to be the most important year because it determines the course path will take.</p>

<p>Signed into law in June and will be a requirement after they vote. Let your congressmen know that you want this to go into effect.</p>

<p>Will look different and will be in sections but will not go in Band 1,2,3,4.</p>

<p>Tell them to sign up for concert band 1 and then you can go back and change it later. </p>
<p><strong>Recruiting Initiative Pilot Program<br />

<p>They are putting together a music timbre preference test and a music aptitude test to use while recruiting from the feeder elementary schools.</p>
<p>The county is watching this program and if it successful then they will push for a county wide test to administered. </p>
<p><strong>Survey of Needs<br />

<p>If you have a bunch of kids getting accepted to college, let your parents know that they are able to get into Carolina and other institutions. </p>
<p>Compiled information about students where they were going to college and how many semesters they took band. </p>
<p>NC Public schools and virtual public schools are available for students who have courses that conflict with our performance classes.</p>

<p><strong>All County Jazz</strong></p>
<p>Monday Dec. 5<sup>th</sup> will be 9am-2pm</p>
<p>Tuesday Dec. 6<sup>th</sup> will be from 3pm and the concert is at 7pm /5pm break.</p>
<p>Hal is working on getting local restaurants lined up for students to go to for dinner.</p>
<p>This change is because of the State requiring the sophomores to take the ACT.</p>
<p><strong>Open Discussion</strong>:</p>
<p>Accompaniment tract discrepancies were occurring.</p>
<p>Digital Drop Box possibility for next year because of the amount of CDs that were sent.</p>
<p>Need to record all the scores so we can see where students fall in order</p>
<p>Need to write up procedures and get the district to approve to make them more official than following the CDBA Manuel.</p>
<p>Need to look into taking out some of the scales so we can cut down the amount the student has to do.</p>
<p>Trying to streamline auditions</p>
<p><strong>All County Band</strong></p>
<p>Need to get the runner responsibility so they know what to do.</p>
<p>Judges responsibilities need to be reviewed.  Mainly, don’t look at the students.</p>
<p><strong>Pre-MPA</strong></p>
<p>Partnering with UNCG</p>
<p>Come prepared with 3 pieces, you will do your contest pieces for judges, then go into a sight-reading room, then go to a different room to work with a clinician.</p>
<p>Other schools are welcomed to come from different counties and will be charged $75.  The GCS bands do not have to pay. If you would like to contribute to pay for the judges that would be helpful.</p>

			<content:encoded><![CDATA[<p>Ed Kimbrough will be conducting a performance of his newest Concert Band composition, ”Excursions”,  with the Rockingham County All-County Band on February 9<sup>th</sup> at 7:00 at the Reidsville High School auditorium.   Excursions was commissioned by the Rockingham County Band Directors Association and features three movements.  Kimbrough will be conducting another performance of the piece on February 20th with the 9-10 honor band at the McKendree University Honor Band Festival in Lebanon, Ill.</p>

<p><strong>Benjy Springs</strong>- Director of Bands at Greensboro College</p>
<p>November 9<sup>th</sup> Jazz Band Concert at Greensboro College at 10:30am for an hour.  We would like for you to bring your students. </p>
<p>Please fill out and return registration form if your are interested in coming out.  Playing Basie to Earth Wind and Fire.  Also incorporates the Jazz Faculty.  Very entertaining for students to help motivate them to stay in band.</p>
<p>Buses can come in on Odell Street to drop off students and park at the Reynolds Center. </p>
<p>Benjy is available to come out and work with Middle and High School students.  </p>
<p>Ed shared a concert with Greensboro College Jazz band and it was a great event. </p>

<p>The Education  Summit is set for Wednesday, November 9, 7:30am at the Koury Convention Center</p>

<p>April 19<sup>th</sup> is the Concert.</p>
<p>Audition Date is January 24<sup>th</sup> and 25<sup>th</sup></p>
<p>No more than 4 minutes for a performance</p>
<p>Early part of February participants will be notified if they are in the show.</p>
<p>No Saturday rehearsal this year. Only for new participants or those who use the Pit Orchestra. </p>
<p>Juli- Did they decide if there would be an events organizer?</p>
<p>No funding for that.</p>
<p>Juli- None of those performances were shown on GCS TV</p>
<p>Nathan doesn’t know why it hasn’t been put on there. We will send another DVD to the TV Chanel.</p>
<p>Andy- Should we bring them or should there parents?</p>
<p>If possible you should bring them.</p>

<p>Nathan:</p>
<p>CEU Update 15 to 7.5 in a 5 year cycle.</p>
<p>State board will decide the break down.  The proposal to the legislator you will get no credits for years of teaching.  You will have to have one music credit and one literacy credit.  The literacy credit hasn’t passed yet but will know for sure in November.</p>
<p>Kiyoshi-will we grandfathered in?</p>
<p>No.</p>
<p>Kenny- will national boards count?</p>
<p>Maybe.</p>
<p>Stephanie &#8211; What else counts as a literacy credit?</p>
<p>Paideia seminar workshops count.  You can also get your own workshop started for 10 hours.  The elementary arts teachers meet for 10 hours and they work on lesson plans that incorporate reading into lesson. </p>
<p>Spread the course work out over time will do better than one day. </p>
<p>Next year there will only be 1 hour meetings and they will only last 1 hour.  Our regular meeting days may change to a Wednesday.  4:30-5:30.</p>

<p>Stephanie when would you do it? Near festival would not be beneficial.</p>
<p>Would it be during the day?</p>
<p>Some say it’s too hard to get them out two days during school.</p>
<p>Nathan- It’s not that much time out of class. </p>

<p>Jamboree-Nathan:</p>
<p>Our Jamboree was fantastic. And very impress with our groups.  You do a fantastic job.  Would love to do something to get middle school’s involved in the event. </p>

<p>We are at Simeon Stadium for next year’s event and the boosters of the school rotation will run the concessions.   </p>

<p>The credits needed for high school graduation has gone up.  US History is splitting in half.  Traditional students have one credit that they can miss. </p>
<p>Here is a suggestion.  All the classes that you teach are on the NCBPS encourage students to take courses online.   Go online and look at NCBPS at the courses available. </p>

<li>We are going to stay consistent with the district state so we will also take off the alto clarinet. </li>

<li>Jeremy- Since we adopted the CDBA Handbook are we going to do audition slots?

<li>Stefan made a motion that Jeremy does audition time slots for all county and Andy 2<sup>nd</sup> the motion. All agreed.</li>

<li>Nathan- The county has 7 MK2s and 1 DR7 that are available for directors to use for recording, concerts, and rehearsals.

<li>Send an email to Nathan if you would like to use them and he will give you a release form to fill out.</li>
<li>They are on a first come first served basis.</li>

<li>Nathan would like to do a Concert MPA Preview for middle and high schools for the county bands.

<li>The judges would make the comments during the performance. Afterward they would come down and work with the band on the areas that need attention.</li>

<li>It will be during the school day- one day event</li>
</ul>

<p><strong>4.     </strong><strong>CEUs for 2011-12 / Attendance- Nathan Street</strong></p>
<ul>
<li>You are no longer required to have 15 CEUs per 5 years. Now it is 7.5. He doesn’t know if you get one for every year you teach or if middle school teachers are required to get the 3 reading credits.
<ul>
<li>Stephanie- What about if you are renewing this year?
<ul>
<li>Nathan- they are not grandfathered in.</li>
</ul>
</li>
<li>Art teachers get together to present lesson plans that incorporate reading into their visual arts classes. That type of professional meetings allows for a reading credit.
<ul>
<li>If you want to start one up similar, let Nathan know and he can get a course open on the PD Website.</li>
<li>Has to be reading in the content area not reading music.</li>
</ul>
</li>
</ul>
</li>
<li>Attendance is monitored this year and recorded and lists are sent out to everyone’s Principals.
<ul>
<li>Principals will handle what to do if you miss a meeting. </li>
<li>This emphasis is because of the implantation of the Essential Standards and Common Core Curriculums. </li>
</ul>
</li>
</ul>
<p><strong>5.     </strong><strong>Open Floor- All</strong></p>
<ul>
<li>The GCS Jamboree is next Monday, September 19<sup>th</sup> at SEGHS.<strong></strong>
<ul>
<li>Nathan would love to have all middle school directors to come if available.<strong></strong></li>
</ul>
</li>
<li>Kiyoshi– Instrument repairs: can you clarify the process?  Can we get ride of some of the middleman steps?<strong></strong>
<ul>
<li>Nathan- No. We have to go through the Maintenance Department.  There were grievances in the past about being overcharged so that is why we have those checks and balances.<strong></strong></li>
<li>Some times the instruments are riding around in GCS Vans or sitting in other areas unnoticed. <strong></strong></li>
<li>Nathan &#8211; He and the Maintenance Department stay on top when they know when there is an issue.  <strong></strong>
<ul>
<li>The more you send information/feedback we can keep a record. Then they have meetings with the dealers to talk about and solve these issues.<strong></strong></li>
<li>If we don’t know about the issue we can’t fix it.<strong></strong></li>
<li>If you are picking up instruments that haven’t been fixed let them know so they can take them off your bill. <strong></strong></li>
<li>Email Both Ian Keith and Nathan Street with issues that you have with instrument repairs.  <strong></strong></li>
</ul>
</li>
<li>Juli- was there money for guitar strings for magnet schools?
<ul>
<li>Nathan- No. That is an issue that we need to fix.</li>
</ul>
</li>
<li>Robyn- My instruments are sent back that are non repairable. How do we replenish our cabinets when instruments are coming back unrepaired?
<ul>
<li>Nathan- My suggestion that I am trying to get approved is to use the money that is left over if your instrument is not repairable to purchase new instruments.</li>
<li>You can go off state contract. </li>
<li>David Feni is who does our piano tuning</li>
<li><strong>Please send in instrument inventories so that there are up to date.</strong></li>
</ul>
</li>
<li>Andy- Who’s responsibility is it to take care of required instruments for the class?  You have an inventory list and know who has what and their needs.
<ul>
<li>There is a list that the county uses for new schools. It has what every new band room should have.  Starting up new schools only. After that the district is done with instruments purchasing. </li>
<li>The intention is that the school pays with instructional funds but since the budget cuts that hasn’t been available.</li>
<li>Andy- You can see who needs instruments is there a way to find money from the district to purchase instruments.
<ul>
<li>Nathan- We have done that. We created baseline standards for all classrooms/band rooms.  A fully equipped band room would be $150,000. When we submitted, this is what we want to do but we don ‘t have the money to do it yet. </li>
<li>You go across the county and there are fully equipped band rooms and some have nothing. </li>
<li>Kiyoshi- it would be nice to rotate the schools around to provided instruments</li>
<li>Nathan- We can’t trade instruments companies/public. They have to go to public auction and you don’t get the money from them.</li>
</ul>

<p><strong>6.     </strong><strong>Middle School Directors are free to go…</strong></p>
<p><strong>7.     </strong><strong>GCS HS Marching Band Jamboree- Nathan and Jeremy Ray</strong></p>
<p><strong>Nathan:</strong></p>
<ul>
<li>There are 6 judges- they are going to make comments on the whole show not individual categories (like Olympic style). </li>
<li>They are going to use a sheet that is not a festival sheet form.  There are two forms, one with a score total and one for comments only. 
<ul>
<li><strong>I know some don’t compete so if it is something that would help you please let me know which sheet you want to use.</strong></li>
</ul>
</li>
<li>They will be selling shout outs. There will also be a favorite band bucket. The band that wins it gets half the money that is raised from the favorite band pool.</li>
<li>Kiyoshi – I billed the Kids voting for the busses
<ul>
<li>Nathan- that’s fine.  They are paying for the buses.</li>
</ul>
</li>
<li>Dress: I had a director ask if they need wear uniforms and it is up to the director if they wear uniforms.</li>
<li>Video- New beginnings will be videoing the whole event.  Please promote your students to buy videos because proceeds go back to the county.
<ul>
<li>The video will include all band performances in the county.</li>
</ul>
</li>
<li>When you arrive, food is available form 4 to 6.</li>
<li><strong>No cadences coming in the stadium you may be disturbing  performance if you play coming up to the stadium</strong>.  Leave equipment/instruments in the parking lot when not performing. </li>
</ul>
<p><strong>Jeremy:</strong></p>
<ul>
<li>Please arrive between 4 and 5pm especially if you are performing at a later time. We want you to be there for an audience for the early bands. </li>
<li>Please don’t bring snacks and drinks to the event. Ask them to buy dinner at the event.</li>
<li>Students can create a meal:  main item (ex. hamburger), chips, and a drink for $5. They can also order off the menu.</li>
<li>Kiyoshi- Can you send an email to Principals to ask to leave school early?
<ul>
<li>Nathan- Communicate with your principal. If there is a problem then let him know. </li>
</ul>
</li>
<li>HP Central, Smith, and Eastern are going to arrive early are going in a different direction.  <strong>Everyone else please do not arrive before 4:15pm</strong>.  You will come in between school and stadium between the do not enter construction and the parking lot.</li>
<li>Jeremy, they are redoing Woody Mill so you have to come into the school a little different:</li>
</ul>
<p>Option #1:</p>
<p>From  Hwy. 421 North towards Greensboro.  Go to the first stop light and turn right onto Hagan Stone Park Rd.  Go to the stop light and turn right onto Liberty Rd.  Go to the stop light and turn left onto Woody Mill Rd.  Take the first left onto Southeast School Rd., go to the 3<sup>rd</sup> school entrance, just past the tennis courts and turn right.  This will take you around to the bus lot, have you driver park in this lot.  You can enter the stadium where you would enter for the band festival and where we go in. </p>
<p>Option #2:</p>
<p>From Hwy. 62 East/South to where it intersects with Liberty Rd.  Turn left onto Liberty Rd.  Go to the 1<sup>st</sup> stop light, just past the Food Lion, turn right onto Woody Mill Rd. Take the first left onto Southeast School Rd., go to the 3<sup>rd</sup> school entrance, just past the tennis courts and turn right.  This will take you around to the bus lot, have you driver park in this lot.  You can enter the stadium where you would enter for the band festival and where we go in. </p>
<ul>
<li><strong>If you don’t have a trailer Jeremy Ray needs to know because beyond a certain spot only busses and trailers will be allow. So he needs to know so he can give you a pass to allow your vehicles carrying equipment back there.</strong> </li>
<li>Follow that map that Nathan sent on Monday</li>
<li>We are working on getting a golf cart to move people around.</li>
<li>Parents park in lot 1,2 or 3.  <strong>We are trying not to use the middle school as much as possible because the middle school yellow buses park there.</strong></li>
<li>We will put people in the annex and the new part to dress and undress.<strong></strong></li>
<li>You will be assigned 2 students helpers and an adult.  At the tent, your guides will be there waiting an half and hour before your warm up time.  <strong></strong></li>
<li>Is there power on the field?<strong></strong>
<ul>
<li>Jeremy- Yes we offer power on the 50 yard line.  <strong></strong></li>
</ul>
</li>
<li>Handicapped parking is between the school and stadium.  <strong></strong></li>
<li>We appreciate your band purchasing from us, and I will do the same for your school.<strong></strong></li>
<li>Is there assigned seating?<strong></strong>
<ul>
<li>No but we do ask that as the stadium fills up please fill up the away side.  <strong></strong></li>

<li>Hal- Will be disappointed if there will not be anyone in the stands to watch his band, because they are working hard to get it ready for this show. <strong></strong></li>

<p>My fellow directors, the GCS Jamboree is getting close and we are excited to be hosting this on Monday.  You should have received a couple of things from Nathan concerning the festival. </p>
<ol>

<li>Information that was gone over yesterday at the director’s meeting.</li>
</ol>
<p>If you didn’t get this information, please contact me and I will be happy to answer any of your questions.</p>
<p>Here is something that I forgot to talk about yesterday at the meeting.</p>
<p><strong><span style="text-decoration: underline;">Pit equipment, pit trailers, and props</span></strong>. </p>
<ol>
<li>Pit equipment: we will have the SEHS pit equipment available for all of you to use at your preference.  Our equipment will be set up on a pit trailers and you can use this equipment if you would like.  If you want to bring your own, that is fine also.  We are just trying to make it convenient for everyone.  However, you will need to bring your own sticks, mallets, beaters, and auxiliary instruments.</li>
<li>Pit trailers: if you plan to use your own pit equipment, we need to know how many trailers it is going to take to get your equipment from the bus lot to the field. </li>
<li>Props: if you plan to bring your props, please let us know so that we can prepare a set-up place for you. </li>
</ol>
<p>Please respond to me (not Nathan) the following information:</p>
<p>Pit equipment: Will you use the SEHS equipment or your own equipment?<br />
Pit trailers: If you use your own equipment, how many trailers do you need to get from the bus lot to the field?<br />
Props: Will you use your props?</p>
<p><strong><span style="text-decoration: underline;">Chaperones/Chaperone Passes</span>.</strong></p>
<p>Each band may use as many parents/pit crew members to help them get onto and off of the field as they deem necessary.  However, only 10 chaperone passes will be given to each band to enter the jamboree once their band is done performing.  Other chaperones will have to pay to get into the jamboree.  Ex. If it takes you 40 parents to get on and off the field, that is fine, but only 10 of those can come back into the jamboree with their band for free.  The other 30 must pay.  I encourage you to pre-purchase tickets from Kids Voting to avoid the higher cost and so that your band will receive a percent of the proceeds from that ticket sale.</p>
<p><strong><span style="text-decoration: underline;">Trailer/Tractor Trailer/SUV’s</span>.</strong></p>
<p>If you are bringing your equipment in several SUV’s, please let me know so that I can send you passes to the bus lot for them.  We are not allowing any cars past a certain point on the bus lane without a pass.  The pass tells us that they are carrying equipment.  If you bringing your equipment in a trailer or tractor trailer, this will not be a problem. </p>

<p>I spoke about this last night but I wanted to make sure we get all the information in your hands. Please see the information below…</p>
<ul>
<li>There are 6 judges- they are going to make comments on the whole show not individual categories (like Olympic style). </li>
<li>Judges are going to use a sheet that is not a festival sheet form.  There are two forms, one with a score total and one for comments only. 
<ul>
<li><strong>Considering that not every band is a competition band, we will default to the comments only sheet. If you would like for the judges to give you a score, please let me know by Friday of this week. Remember, no one else will receive your comments and/or score. This information will <em><span style="text-decoration: underline;">not</span></em> be announced.</strong></li>
</ul>
</li>
<li>Kids Voting will be selling shout outs. There will also be a favorite band bucket. The band that wins it gets half the money that is raised from the favorite band pool.</li>
<li>Bus billing: Some schools may not bill Kids Voting. If that happens, then send the bill to me and I will get it to KV.</li>
<li>Uniforms: It is up to you as to whether or not your students wear uniforms Monday evening.</li>
<li>Video- New beginnings will be videoing the whole event.  Please promote your students to buy videos because a portion of the proceeds go back to the county.
<ul>
<li>The video will include all band performances in the county.</li>
</ul>
</li>
<li>When you arrive, food is available from 4 to 6 for band directors and judges in the hospitality tent at no cost.</li>
<li><strong>Please refrain from bringing your students into the stadium using a cadence upon your arrival. Please refrain from using cadences to move your students to and from warm-up areas or to and from seating in the stadium. You are more than welcome to use cadences to move your band onto the field for your performance and off the field following your performance. Once you have moved your band off the field, please stop the cadence so we may begin moving the next band onto the field uninhibited. When moving your students into or out of the stadium, please be respectful of the band who is on the field. It is always best to move your students in between performances.</strong></li>
<li><strong>Please be mindful of your field time. We have several bands to squeeze into a short amount of time and we want everyone to have appropriate time.</strong> </li>
<li>Please arrive between 4 and 5pm especially if you are performing at a later time. We want you to be there for an audience for the early bands and you will want an audience for your band. Please give each other the respect of an audience. </li>
<li>Please don’t bring snacks and drinks to the event. Ask students to buy dinner at the event. You will want the same when it is your school’s turn to operate concessions.</li>
<li>Students can create a meal:  main item (ex. hamburger), chips, and a drink for $5. They can also order off the menu.</li>
<li>Make sure you are communicating with your principals regarding your departure time from your school. Again, this is a district-sponsored event. If you are late, it will cause the event to be late.</li>
<li>Other than HP Central, Smith, and Eastern who are performing first, please arrive slightly after 4:15 so you will not be caught in bus traffic leaving SEHS.</li>
<li>Woody Mill Road is currently under construction so you have to come into the school a little different:</li>
</ul>
<p>Option #1:</p>
<p>From  Hwy. 421 North towards Greensboro.  Go to the first stop light and turn right onto Hagan Stone Park Rd.  Go to the stop light and turn right onto Liberty Rd.  Go to the stop light and turn left onto Woody Mill Rd.  Take the first left onto Southeast School Rd., go to the 3<sup>rd</sup> school entrance, just past the tennis courts and turn right.  This will take you around to the bus lot, have you driver park in this lot.  You can enter the stadium where you would enter for the band festival and where we go in. </p>
<p>Option #2:</p>
<p>From Hwy. 62 East/South to where it intersects with Liberty Rd.  Turn left onto Liberty Rd.  Go to the 1<sup>st</sup> stop light, just past the Food Lion, turn right onto Woody Mill Rd. Take the first left onto Southeast School Rd., go to the 3<sup>rd</sup> school entrance, just past the tennis courts and turn right.  This will take you around to the bus lot, have you driver park in this lot.  You can enter the stadium where you would enter for the band festival and where we go in. </p>
<ul>
<li><strong>If you don’t have a trailer Jeremy Ray needs to know because beyond a certain spot only busses and trailers will be allowed. So he needs to know so he can give you a pass to allow your vehicles carrying equipment back there.</strong> </li>
<li>Follow that map that Nathan sent on Monday</li>
<li>We are working on getting a golf cart to move people around.</li>
<li>Parents park in lot 1,2 or 3.  <strong>We are trying not to use the middle school as much as possible because the middle school yellow buses park there.</strong></li>
<li>We will put people in the school annex and the new part to dress and undress.<strong></strong></li>
<li>You will be assigned 2 students helpers and an adult.  At the tent, your guides will be there waiting a half hour before your warm up time.  <strong></strong></li>
<li>If you need power on the field, it will be made available to you at the 50 yard line.<strong></strong></li>
<li>Handicapped parking is between the school and stadium.  <strong></strong></li>
<li>There is no assigned seating for bands; however, we ask that you fill up the away side as much as possible leaving room for paying guests on the home side.<strong></strong></li>
<li><strong>Directors have stressed the importance of making sure everyone arrives on time. Band Directors have stressed that their students have worked extra hard to make sure they have a show on the field this early and want everyone to recognize the efforts of all students by ensuring all arrive on time so everyone gets a chance at an audience.</strong></li>
<li><strong>REMINDER: Advanced tickets are $6.00. Tickets at the gate are $8.00. </strong></li>

<p>The All County Orchestra will once again audition for wind and percussionists via CD or cassette tape recordings.  The due date for these recorded auditions is <strong>Tuesday, October 18<sup>th</sup>.</strong>  Just like last year, we will use the All County / All District Solo as the required audition solo rather than a separate piece of music.  This is in hopes that it will inspire early practice for our students who are considering auditions for the All District auditions in January.  Please check the recording on a few players to make sure it will work on any machine during the screening.  I thank all who helped me listen to tapes last year and ask again for any available ears to help listen to these recordings.</p>

<p>Scales</p>
<ol>
<li>Please record the (concert pitch) Bb, Eb, Ab, F, and Chromatic scales.  These are the same scales that are used for the High School All County Band of Guilford County.  Likewise, they should align with the format of the All County / All District requirements.</li>
