<p><strong>All County Procedures and Guidelines Handbook<br />
</strong>Nathan </p>
<p>The All County Procedures and Guideline Handbook has been presented to Academic Committee last Wednesday. It has been deferred to the Principals meeting.  The Principals will review and vote to approve. The handbook is not opened up for changes; it is to be voted on as is. </p>
<p>Ed. Do we need to be cleaned up the language about the band enrollment and eligibility?</p>
<p>Open Discussion:</p>
<p>Choral members that take private lessons were discussed.</p>
<p>Language needs to be as clear as possible. </p>
<p>For instrumental or band/orchestra class only was discussed.</p>
<p>All county is an encouragement for students to take our band classes was discussed.</p>
<p>We need to follow the rules of Central District Bandmasters Association Guidelines. </p>
<p>These experiences are curricular extensions of your classroom.  If you are not in the classroom you are not extending the classroom. </p>
<p>Should we do a separate handbook for jazz?</p>
<p>Nathan- No. The handbook is basically done. There are clauses that are available to change.  Jazz band is not included in the handbook.</p>
<p>The possibility of taking string bass out of the instrumentation of the All County Band was discussed. </p>
<p>The need for flexibility for jazz band was discussed. </p>
<p>Nathan- We are on par with what the district and the state uses and we cannot go less than what they do.  We have put the clause in that the class has to meet 135 block hours and 150 traditional hours.</p>
<p>Decided to keep the wording as band in the handbook.  </p>
<p>Discussion was held about parent concerns about All County Band Eligibility. </p>
<p><strong>All County Band<br />
</strong>Brian McMath, Jeremy Ray, and Robyn Spruill</p>
<p>Will be held Feb. 7<sup>th </sup>at Harriston Middle School</p>
<p>The registration cards are printed and ready to go.</p>
<p>There is still a need for 7 more judges to fill rooms to guarantee that we will finish around 8pm.</p>
<p>If you have students who are not going to audition you do not have to let Jeremy know.</p>
<p>You can start arriving at 3:30pm, meet in the media center. 4pm the meeting must start on time.</p>
<p>Registration is in the multipurpose room for students who are auditioning. </p>
<p>Nathan will let the Principals know to allow an early release.</p>
<p>Bb, Eb, Ab, and F is the scale order in concert pitch.</p>
<p>MS trumpet is the only room that will run to 8pm.  Everyone else should be finished before then. </p>
<p>The scores sheets are color coated.  MS sheets are yellow and HS sheets are blue.</p>
<p>The tote sheet will go to the highest number of students registered so you will know how many students are registered to audition for that room. </p>
<p>Registration Cards are the same color; Yellow for MS students and blue for HS students.</p>
<p>Please talk to your students about their registration card and it is important that <em>they</em> hold on to card</p>
<p>It was put on the room helper sheet that if students who are audition don’t have a card they don’t audition. </p>
<p>We have enough helpers.</p>
<p>We may need to look into the rooms through the door windows to make sure students are not taking pictures with their phone of the sightreading piece. </p>
<p>Stands should be facing the door so someone can look in. </p>
<p> <strong>Please bring a stand for your room.</strong></p>
<p>When you are judging please use only whole and half points. The scoring program is set up to use only whole and half points. </p>
<p>If you are a tympani judge it’s right 6, half right 3, or wrong 0.</p>
<p>When percussionists are reading sightreading they are not allowed to play on their legs or on the stand.  They can only air stick.</p>
<p>Solo requirements- please read and check</p>
<p>Students only have to read the first two pages.</p>
<p>Take note: tuba has two different parts but is 3 pages long. The first part is one page and the second part they only have to read the first page.</p>
<p><strong>High School Registration Book<br />
</strong>Nathan</p>
<p>Middle School directors are vital part to this new registration system working.</p>
<p>If the student has little or no experience then they have to go in at beginning level</p>
<p>If they have k-8 with an audition they can go into concert band, jazz band.</p>
<p>It would it be possible for an extremely good student to skip to advanced level.</p>
<p>After students reach proficient they would receive honors credit.</p>
<p>This recommendation will go this month and if it is voted and approved it will go into effect next year.</p>
<p>All four credits or 8?</p>
<p>All 8 for block.</p>
<p>Will affect current students?</p>
<p>Don’t know.</p>
<p>Race to the top is expected that next year all arts courses will give an assessment. A state assessment exam for arts courses.</p>
<p>They have already created the test.  DPI Arts Consultants.</p>
<p>Potentially would you have a beginner level course in high school?</p>
<p>Yes but classes can potentially be combined and students don’t have to take the track in order. </p>
<p>8<sup>th</sup> grade year is going to be the most important year because it determines the course path will take.</p>
<p><strong>NCDPI- HB 758 Legislation<br />
</strong>Nathan</p>
<p>Signed into law in June and will be a requirement after they vote. Let your congressmen know that you want this to go into effect.</p>
<p><strong>Paperless Initiative</strong></p>

<p><strong>Course Coding and NC Honors Policy<br />
</strong>Nathan</p>
<p>Will look different and will be in sections but will not go in Band 1,2,3,4.</p>
<p>What do I tell 8<sup>th</sup> grade students to sign up for?</p>
<p>Tell them to sign up for concert band 1 and then you can go back and change it later. </p>
<p><strong>Recruiting Initiative Pilot Program<br />
</strong>Andy, Drew, and Ashley</p>
<p>They are putting together a music timbre preference test and a music aptitude test to use while recruiting from the feeder elementary schools.</p>
<p>The county is watching this program and if it successful then they will push for a county wide test to administered. </p>
<p><strong>Survey of Needs<br />
</strong>Ed</p>
<p>If you have a bunch of kids getting accepted to college, let your parents know that they are able to get into Carolina and other institutions. </p>
<p>Compiled information about students where they were going to college and how many semesters they took band. </p>
<p>NC Public schools and virtual public schools are available for students who have courses that conflict with our performance classes.</p>

November 21, 2011<br />

<p><strong>All County Jazz</strong></p>
<p>Monday Dec. 5<sup>th</sup> will be 9am-2pm</p>
<p>Tuesday Dec. 6<sup>th</sup> will be from 3pm and the concert is at 7pm /5pm break.</p>
<p>Hal is working on getting local restaurants lined up for students to go to for dinner.</p>
<p>This change is because of the State requiring the sophomores to take the ACT.</p>
<p><strong>Open Discussion</strong>:</p>
<p>Accompaniment tract discrepancies were occurring.</p>
<p>Digital Drop Box possibility for next year because of the amount of CDs that were sent.</p>
<p>Need to record all the scores so we can see where students fall in order</p>
<p>Need to write up procedures and get the district to approve to make them more official than following the CDBA Manuel.</p>
<p>Need to look into taking out some of the scales so we can cut down the amount the student has to do.</p>
<p>Trying to streamline auditions</p>
<p><strong>All County Band</strong></p>
<p>Need to get the runner responsibility so they know what to do.</p>
<p>Judges responsibilities need to be reviewed.  Mainly, don’t look at the students.</p>
<p><strong>Pre-MPA</strong></p>
<p>Partnering with UNCG</p>
<p>Come prepared with 3 pieces, you will do your contest pieces for judges, then go into a sight-reading room, then go to a different room to work with a clinician.</p>
<p>Other schools are welcomed to come from different counties and will be charged $75.  The GCS bands do not have to pay. If you would like to contribute to pay for the judges that would be helpful.</p>
<p>Will be held on the 29<sup>th</sup> of February</p>
<p>Schools are allowed to bring more than one band</p>
<p>Contact Nathan if you would like to participate.</p>

<p><strong>Benjy Springs</strong>- Director of Bands at Greensboro College</p>
<p>November 9<sup>th</sup> Jazz Band Concert at Greensboro College at 10:30am for an hour.  We would like for you to bring your students. </p>
<p>Please fill out and return registration form if your are interested in coming out.  Playing Basie to Earth Wind and Fire.  Also incorporates the Jazz Faculty.  Very entertaining for students to help motivate them to stay in band.</p>
<p>Buses can come in on Odell Street to drop off students and park at the Reynolds Center. </p>
<p>Benjy is available to come out and work with Middle and High School students.  </p>
<p>Ed shared a concert with Greensboro College Jazz band and it was a great event. </p>

<p>The Education  Summit is set for Wednesday, November 9, 7:30am at the Koury Convention Center</p>

<p>April 19<sup>th</sup> is the Concert.</p>
<p>Audition Date is January 24<sup>th</sup> and 25<sup>th</sup></p>
<p>No more than 4 minutes for a performance</p>
<p>Early part of February participants will be notified if they are in the show.</p>
<p>No Saturday rehearsal this year. Only for new participants or those who use the Pit Orchestra. </p>
<p>Juli- Did they decide if there would be an events organizer?</p>
<p>No funding for that.</p>
<p>Juli- None of those performances were shown on GCS TV</p>
<p>Nathan doesn’t know why it hasn’t been put on there. We will send another DVD to the TV Chanel.</p>
<p>Andy- Should we bring them or should there parents?</p>
<p>If possible you should bring them.</p>

<p>Kristen Durrell- Band 7 and 8<sup>th</sup> Lesson 7. ML.2.2 and 8.ML.2.2</p>
<p>Nathan:</p>
<p>CEU Update 15 to 7.5 in a 5 year cycle.</p>
<p>State board will decide the break down.  The proposal to the legislator you will get no credits for years of teaching.  You will have to have one music credit and one literacy credit.  The literacy credit hasn’t passed yet but will know for sure in November.</p>
<p>Kiyoshi-will we grandfathered in?</p>
<p>No.</p>
<p>Kenny- will national boards count?</p>
<p>Maybe.</p>
<p>Stephanie &#8211; What else counts as a literacy credit?</p>
<p>Paideia seminar workshops count.  You can also get your own workshop started for 10 hours.  The elementary arts teachers meet for 10 hours and they work on lesson plans that incorporate reading into lesson. </p>
<p>Spread the course work out over time will do better than one day. </p>
<p>Next year there will only be 1 hour meetings and they will only last 1 hour.  Our regular meeting days may change to a Wednesday.  4:30-5:30.</p>
<p>Preview concert contest:</p>
<p>If we did one would you come?</p>
<p>Stephanie when would you do it? Near festival would not be beneficial.</p>
<p>Would it be during the day?</p>
<p>Some say it’s too hard to get them out two days during school.</p>
<p>Nathan- It’s not that much time out of class. </p>
<p>It would be the end of February or beginning of March. </p>
<p>Jamboree-Nathan:</p>
<p>Our Jamboree was fantastic. And very impress with our groups.  You do a fantastic job.  Would love to do something to get middle school’s involved in the event. </p>
<p>Suggested Combined Star Spangled Banner. </p>
<p>We are at Simeon Stadium for next year’s event and the boosters of the school rotation will run the concessions.   </p>

<p>The credits needed for high school graduation has gone up.  US History is splitting in half.  Traditional students have one credit that they can miss. </p>
<p>Here is a suggestion.  All the classes that you teach are on the NCBPS encourage students to take courses online.   Go online and look at NCBPS at the courses available. </p>

<li>We are going to stay consistent with the district state so we will also take off the alto clarinet. </li>

<li>Jeremy- Since we adopted the CDBA Handbook are we going to do audition slots?

<li>Stefan made a motion that Jeremy does audition time slots for all county and Andy 2<sup>nd</sup> the motion. All agreed.</li>

<li>Nathan- The county has 7 MK2s and 1 DR7 that are available for directors to use for recording, concerts, and rehearsals.

<li>Send an email to Nathan if you would like to use them and he will give you a release form to fill out.</li>
<li>They are on a first come first served basis.</li>

<li>Nathan would like to do a Concert MPA Preview for middle and high schools for the county bands.

<li>The judges would make the comments during the performance. Afterward they would come down and work with the band on the areas that need attention.</li>

<p><strong>4.     </strong><strong>CEUs for 2011-12 / Attendance- Nathan Street</strong></p>
<ul>
<li>You are no longer required to have 15 CEUs per 5 years. Now it is 7.5. He doesn’t know if you get one for every year you teach or if middle school teachers are required to get the 3 reading credits.
<ul>
<li>Stephanie- What about if you are renewing this year?
<ul>
<li>Nathan- they are not grandfathered in.</li>
</ul>
</li>
<li>Art teachers get together to present lesson plans that incorporate reading into their visual arts classes. That type of professional meetings allows for a reading credit.
<ul>
<li>If you want to start one up similar, let Nathan know and he can get a course open on the PD Website.</li>
<li>Has to be reading in the content area not reading music.</li>
</ul>
</li>
</ul>
</li>
<li>Attendance is monitored this year and recorded and lists are sent out to everyone’s Principals.
<ul>
<li>Principals will handle what to do if you miss a meeting. </li>
<li>This emphasis is because of the implantation of the Essential Standards and Common Core Curriculums. </li>
</ul>

</ul>
<p><strong>5.     </strong><strong>Open Floor- All</strong></p>
<ul>
<li>The GCS Jamboree is next Monday, September 19<sup>th</sup> at SEGHS.<strong></strong>
<ul>
<li>Nathan would love to have all middle school directors to come if available.<strong></strong></li>
</ul>
</li>
<li>Kiyoshi– Instrument repairs: can you clarify the process?  Can we get ride of some of the middleman steps?<strong></strong>
<ul>
<li>Nathan- No. We have to go through the Maintenance Department.  There were grievances in the past about being overcharged so that is why we have those checks and balances.<strong></strong></li>
<li>Some times the instruments are riding around in GCS Vans or sitting in other areas unnoticed. <strong></strong></li>
<li>Nathan &#8211; He and the Maintenance Department stay on top when they know when there is an issue.  <strong></strong>
<ul>
<li>The more you send information/feedback we can keep a record. Then they have meetings with the dealers to talk about and solve these issues.<strong></strong></li>
<li>If we don’t know about the issue we can’t fix it.<strong></strong></li>

<li>Nathan- My suggestion that I am trying to get approved is to use the money that is left over if your instrument is not repairable to purchase new instruments.</li>

<li>Andy- Who’s responsibility is it to take care of required instruments for the class?  You have an inventory list and know who has what and their needs.

<li>There is a list that the county uses for new schools. It has what every new band room should have.  Starting up new schools only. After that the district is done with instruments purchasing. </li>
<li>The intention is that the school pays with instructional funds but since the budget cuts that hasn’t been available.</li>
<li>Andy- You can see who needs instruments is there a way to find money from the district to purchase instruments.

<li>Nathan- We have done that. We created baseline standards for all classrooms/band rooms.  A fully equipped band room would be $150,000. When we submitted, this is what we want to do but we don ‘t have the money to do it yet. </li>
<li>You go across the county and there are fully equipped band rooms and some have nothing. </li>
<li>Kiyoshi- it would be nice to rotate the schools around to provided instruments</li>
<li>Nathan- We can’t trade instruments companies/public. They have to go to public auction and you don’t get the money from them.</li>

<p><strong>7.     </strong><strong>GCS HS Marching Band Jamboree- Nathan and Jeremy Ray</strong></p>
<p><strong>Nathan:</strong></p>
<ul>
<li>There are 6 judges- they are going to make comments on the whole show not individual categories (like Olympic style). </li>
<li>They are going to use a sheet that is not a festival sheet form.  There are two forms, one with a score total and one for comments only. 
<ul>
<li><strong>I know some don’t compete so if it is something that would help you please let me know which sheet you want to use.</strong></li>
</ul>
</li>
<li>They will be selling shout outs. There will also be a favorite band bucket. The band that wins it gets half the money that is raised from the favorite band pool.</li>
<li>Kiyoshi – I billed the Kids voting for the busses
<ul>
<li>Nathan- that’s fine.  They are paying for the buses.</li>
</ul>
</li>
<li>Dress: I had a director ask if they need wear uniforms and it is up to the director if they wear uniforms.</li>
<li>Video- New beginnings will be videoing the whole event.  Please promote your students to buy videos because proceeds go back to the county.
<ul>
<li>The video will include all band performances in the county.</li>
</ul>
</li>
<li>When you arrive, food is available form 4 to 6.</li>
<li><strong>No cadences coming in the stadium you may be disturbing  performance if you play coming up to the stadium</strong>.  Leave equipment/instruments in the parking lot when not performing. </li>
</ul>
<p><strong>Jeremy:</strong></p>
<ul>
<li>Please arrive between 4 and 5pm especially if you are performing at a later time. We want you to be there for an audience for the early bands. </li>
<li>Please don’t bring snacks and drinks to the event. Ask them to buy dinner at the event.</li>
<li>Students can create a meal:  main item (ex. hamburger), chips, and a drink for $5. They can also order off the menu.</li>
<li>Kiyoshi- Can you send an email to Principals to ask to leave school early?
<ul>
<li>Nathan- Communicate with your principal. If there is a problem then let him know. </li>
</ul>
</li>
<li>HP Central, Smith, and Eastern are going to arrive early are going in a different direction.  <strong>Everyone else please do not arrive before 4:15pm</strong>.  You will come in between school and stadium between the do not enter construction and the parking lot.</li>
<li>Jeremy, they are redoing Woody Mill so you have to come into the school a little different:</li>

<p>Option #1:</p>
<p>From  Hwy. 421 North towards Greensboro.  Go to the first stop light and turn right onto Hagan Stone Park Rd.  Go to the stop light and turn right onto Liberty Rd.  Go to the stop light and turn left onto Woody Mill Rd.  Take the first left onto Southeast School Rd., go to the 3<sup>rd</sup> school entrance, just past the tennis courts and turn right.  This will take you around to the bus lot, have you driver park in this lot.  You can enter the stadium where you would enter for the band festival and where we go in. </p>

<li>We are working on getting a golf cart to move people around.</li>
<li>Parents park in lot 1,2 or 3.  <strong>We are trying not to use the middle school as much as possible because the middle school yellow buses park there.</strong></li>
<li>We will put people in the annex and the new part to dress and undress.<strong></strong></li>
<li>You will be assigned 2 students helpers and an adult.  At the tent, your guides will be there waiting an half and hour before your warm up time.  <strong></strong></li>
<li>Is there power on the field?<strong></strong>

<li>Jeremy- Yes we offer power on the 50 yard line.  <strong></strong></li>

<li>Handicapped parking is between the school and stadium.  <strong></strong></li>

<li>No but we do ask that as the stadium fills up please fill up the away side.  <strong></strong></li>

<p>Ed Kimbrough Called meeting to Order</p>
<p>Nathan Street:</p>
<ul>
<li>There are students all across the district who have taken more than 2 honors credits in arts classes.</li>
<li>Those students names will be sent to County who will decide how to handle the issue.  Students may loose their credit and GPA would be lowered</li>
<li>Chorus, Band, Dance, Visual Arts are included</li>
<li>Parents may come to you; let them know it is a state of NC Law and it is a counseling issue.</li>
<li>If you teach an honors course please send the syllabus to Nathan for both regular and honors courses.</li>
<li>DPI may want to get involved and we will have to have our syllabus and course descriptions available.</li>
<li>It’s ok to have different arts discipline honors course.  Cannot have two honors credit within the same discipline (ex. 2 H. Band credits and 2 H. Chorus credits are ok).</li>
</ul>
<p>Ed suggests that we review the meeting notes on the presentation that Melissa Kotacka, Assistant Director of Admissions UNCCH, gave on 5/17/10 about keeping arts in the curriculum. It’s not all about GPA to get into college.  We shouldn’t run from this issue.</p>
<p>Nathan suggests that we contact NC DPI with our concerns about the Law.</p>
<p>Stefan- Why do counselors push for 4 years of foreign Language?</p>
<p>Marjorie- It is to show that they continue thorough a program/ completion</p>
<p>Stefan-A concert is a great place to showcase where students are going to college and that they had band all four years.</p>
<p>Jeremy- Nathan can you let us know if any of our schools/students who are on that list?</p>
<p>Nathan- Summer Arts Institute</p>
<ul>
<li>We need students.  Bernie Hall will do it again.  It has been extended to rising 10<sup>th</sup> graders</li>
<li>We are also offering group lesions. For everyone paying students we offer support for students who cannot afford lessons.</li>
<li>Students can choose a major and a minor.</li>
<li>July 11-15 Concert will be Thursday 14<sup>th</sup> at High Point Theater</li>
<li>Also a show choir champ, visual arts, and Beauty and the Beast Musical.</li>

<p>Juli- I have had many parents volunteer to help supervise students during audition. Brian offered to train volunteers.</p>
<p>People need to get there on time.</p>
<p>Jeremy: If we do audition times then we have to make sure students are on time.  We can’t audition times if students are late.</p>
<p>Open discussion about the new tiered bussing schedule.</p>
<p>Brian- I am very thankful to have the A&amp;T students, I think we should offer to other area collegiate music ed majors to help out.</p>
<p>Robin- We had angry parents because they got there early and would not be able to get into the school.</p>
<p>Brian asked if it would be beneficial to have area college students to help.</p>
<p>Nathan- When we get angry parents can you help me head them off at the path;  For example: Juli would cc me on the emails that gives me a heads up it will allow me some background information on what the situation is.</p>

<p>Nathan- Next year we have to do it through the print shop and two weeks early. We can do an insert with corrections with alternate names who are added last minute.</p>
<p><strong>Equipment</strong>- Stefan / Students who make the percussion section they should bring the small hand percussion.</p>
<p>Ed- Discussion on Fees for All County</p>
<p>We need to discuss fees for clinic and audition.</p>
<p>Nathan- I expect the same budget, but it may change.  I want to be proactive not reactive.  Orchestra directors just voted to have a fee for audition.  Just in case that we have to have it.  Orchestra voted for a $5 fee for audition regardless of the budget.</p>
<p>Juli- Proposes a smaller audition fee and a larger fee for the clinic because they are the ones who benefit.</p>
<p>How many HS students auditioned?</p>
<p>-Jeremy: In the 200eds audition /108 in clinic</p>
<p>Steven: Fee will be a deterrent for students to audition.</p>
<p>Nathan: $16,000 cost to have All Counties.  That is for the 10 clinicians, music, and substitutes.</p>
<p>Jeremy- I think we are walking a fine line. Now some school busters are funding their programs.  We may lose this money in the future.</p>
<p>Nathan- Open Discussion about issue</p>
<p>Juli- Should we table this until we know our budget?</p>
<p>Stephanie- I am afraid that once this fee starts it wont go away.  I don’t think we should panic. We should wait and see what our situation will be like next year.  We can use music that schools already have, and choose local clinicians.</p>
<p>Are there other counties that do this?</p>
<p>Nathan- Charlotte and Forsyth.</p>
<p>What is the charge?</p>
<p>Nathan- I don’t know.</p>
<p>Hal- I have taught it other states.  I think we value this experience for our students and we should try to keep it.</p>
<p>Stephanie- We have great band directors and we could use them for clinicians.</p>
<p>Hal- I would love to see other directors teach. I don’t know what they do in their classrooms.</p>
<p>Ed. We can still meet in the fall and decide to charge a fee or make adjustments to make the event happen.</p>
<p>Chuck- Forsyth votes on a director of the year and that director directs the middles school ensemble.</p>
<p>Charles Butler- I agree with Hal, I would like one or two extra chairs to allow students from the smaller programs who don’t get the chance to make the band who can go and experience the clinic and take it back to their schools and tell other students how great All County is to motivate their classmates.</p>
<p>Kristen- We should pick students who we see potential and then foster it and give them the tools to be able to make the band.</p>
<p>Ed- Maybe we can get a grant with United Arts Counsel to provide private lessons for students who cannot afford them.</p>
<p>Juli- I have a problem with having 42 students from my program going to different schools and sometimes seeing them at All County and sometime never seeing those students again.</p>
<p>Ed- If you have a strong feeling about this issue, see me and we can make a committee.</p>

<p><strong> </strong>Meeting Called to order by lead teacher Ed Kimbrough</p>
<p>Open Discussion on the events that occurred at the All County Band Auditions on February 8<sup>th</sup>, 2011.</p>
<p>Student Volunteers</p>
<ul>
<li>Student volunteers should be well trained.</li>
<li>There needs to be better communication between runners and audition rooms.</li>
<li>Where they trained on what to do? How were they trained?</li>
</ul>
<p>Brian McMath volunteered to help train the helpers for next year’s auditions.</p>
<p>Problems:</p>
<ul>
<li>There needs to be adequate training for helpers and judges</li>
<li>There were horns sitting for an hour outside the audition rooms</li>
<li>Horns need two rooms instead of doing all parts of the audition in one room</li>
<li>Stefan- Directors need to be trained and follow directions.  If they don’t there needs to be consequences for them.</li>
<li>Trent- Can we use the CDBA handbook?</li>
<li>Stefan- Is there any consequences for directors who break protocol?
<ul>
<li>Jeremy- In the CDBA By Laws, letters will be sent to the directors principal if they continue to disregard the rules.  If their misconduct continues then their students/school will be ineligible to audition.</li>
<li>Brent- We should be glad to have the All County program because some schools systems do not.  We need to make positive light of it.</li>
</ul>
</li>
<li>Juli- Had a question about scores.  Middle School Trombones almost took a week to get the scores back.  What is the deal about getting judges sheets to the scoring room? Can we have the room helpers hold the sheets till auditions are done and send the sheets all at once?
<ul>
<li>K. Butler- There was no consistency between judge 1 and 2</li>
<li>Juli- Why does judge 1 or 2 have anything to do with scores?</li>
<li>Jeremy- It makes it easier to see that the judges stay consistent in scoring.  The end outcome is the same.</li>
<li>Hal- this would be a procedure issue</li>
<li>K. Butler- Actually right now there is not a place to sign on score sheets so no one knows who it is.</li>
</ul>
</li>
<li>Ashley- Can we do it on lap tops and use google documents- spread sheet?
<ul>
<li>Open discussion about online scoring</li>
<li>Then tabled till a later meeting.</li>
</ul>
</li>
</ul>
<ul>
<li>Stefan- Jeremy will you do the scoring next year?
<ul>
<li>Jeremy- Yes.</li>
</ul>
</li>
<li>K. Butler- I saw kids who hadn’t audition have scores already in the spreadsheets in the judging room.  Why was this?
<ul>
<li>The spreadsheets from last year’s auditions were used and not zeroed out.  With the old scores in the spreadsheet it was difficult to tell who’s scores had been entered.</li>
</ul>
</li>
<li>Can we call only 5 horns at a time instead of 10? The horns where in the audition hallway too long.</li>
<li>K. Butler- Can oboe cuts be known before?</li>
<li>Ed- Copy of the solo list should be available for judge’s room so judges can check to make sure the cuts are to the right solo/movement and the first two pages.</li>
<li>Tammy- I was in the oboe room. Listening to the first few auditions I could tell something was wrong.  I tried to get the runner to find out if it was the right solo. They could not find anyone.  I got the runner to send all the oboes back to the warm up area.  We need to have a movement list in the judge’s packet to check movements/cuts.  I think we need leeway in cuts and have input as directors in the decisions that were made.  It’s about the student getting a good audition experience.
<ul>
<li>Ed- No one was putting blame on you.</li>
<li>Tammy- I couldn’t find anyone for help when I had a question. Someone should be available at a central location for advice and questions.</li>
<li>Juli- We should get some of the “old farts”, term of endearment, who have retired to come and help.</li>
</ul>
</li>
<li>Brian- In years past he could remember as a judge making the cuts himself for his room.  Can we do that again?
<ul>
<li>Jeremy- Two problems occurred when we did this in the past and that is why we don’t do it anymore:
<ul>
<li>Judges were making cuts out of range for instruments</li>
<li>Directors were telling students where the cuts would be</li>
</ul>
</li>
<li>It shouldn’t be that hard to look at the solo list and the scale sheets to make sure the solo is right and the cuts are within the range.</li>
</ul>
</li>
<li>Ed- There were judges hearing auditions past 9pm because cuts were way too long.</li>
</ul>
<p>Jeremy- I make a motion to adopt the CDBA Hand Book for our guidelines.</p>
<p>Discussion:</p>
<ul>
<li>Andy- Is everything in the handbook applicable to county level?</li>
<li>Ed- We only use the first two pages of the solo</li>
</ul>
<p>Jeremy- I motion that we accept it now as is and in September amend it to meet our county.</p>

<li>Brian- I think the amendment needs to happen in April to be ready for next year while it is still fresh in our minds.</li>

<li>Juli- When addressing parent, we were questioned why it didn’t go as well as district? We shot ourselves in the foot and appeared not prepared for auditions.</li>
<li>Jeremy- The audition time slots worked well BUT you and your students have to be on time so auditions can begin on time. We would have to be more strict with audition times and keep sheets at the rooms.</li>
<li>Juli- Would a financial obligation keep more to come and less no shows?

<li>Andy- Answer to finical obligation: At the orchestra meeting Nathan brought up a $2 fee for auditions and another $2 for the clinic.</li>
<li> Ed- we should vote on this when Nathan brings it up.</li>
<li>Jeremy- I’m not for it but when the budget is tight it might have to happen so we can continue to have the event.</li>
<li>Ed- There are many costs that are associated with All County- substitutes, clinicians, and music.</li>

<p>Ed- Let’s review points that people have made so far:</p>
<p>1.     Band Directors should have a meeting before to go over rules procedures<br />
2.     There was an issue with the number of students called at a time to go to audition rooms<br />
3.     The runners and parent helpers hold be trained so they are consistent with their procedures<br />
4.     Horns need 2 rooms<br />
5.     There is an issue with score sheets going to the scoring room from audition rooms.  Ed suggests that maybe judges enter their own scores when they are done judging<br />
6.     Establish judge 1 and 2 on score sheets to keep consistency<br />
7.     Include CDBA Solo List with correct movements so judges can double check cuts<br />
8.     Establish a job for resource for anyone who has questions or issues that arise unexpectedly</p>
<p style="padding-left: 30px;">a.     Brian- Isn’t that the job of the auditions chair? Answer they are judging</p>
<p style="padding-left: 30px;">b.     Ashley- Nathan should be kept our of the judging room</p>
<p style="padding-left: 30px;">c.     Ed- auditions chairs for MS / HS and Nathan should be the ones for the resources</p>
<p style="padding-left: 30px;">d.     Brian- there are plenty of retired directors and college students that can help</p>
<p>9.     Adapt the CDBA Handbook to meet our county needs<br />
10.  We should have audition times like at the district level.<br />

<p><strong>New Business</strong><br />
-Ed.- All County Jazz clinic is December 7 at EGHS<br />
-Ed (NGHS) is hosting All District Band Clinic at Northern High School<br />
-May ask for equipment to borrow from our schools to accommodate the ensembles, may need parents who have trailers to can carry equipment.<br />
-GCS Jamboree will be at SEGHS again since it was rained out this year.</p>
<p><strong>21st Century Skills<br />
Nathan Street</strong><br />
SharePoint- Will show how to use it again<br />
-Essential Standards:<br />
-ARCE: Accountability and Curriculum Reform Effort at the DPI website there is a list of     the new Essential Standards<br />
-There was talk that our standards were too broad and not deep enough so that is how the Essential Standards developed.</p>
<p>ML- is music literacy<br />
MR- Musical Response<br />
MC-Contextual Relevancy<br />
This is important for us to know.<br />
Developed for K-12<br />
K- stands for Kindergarten</p>
<p>Band students who have taken Band in 6-8th grade will have to keep a portfolio and will be able to skip the beginning level in high school and take the advanced level.<br />
-There is no prerequisites in place or audition process.<br />
-There will be honors credit available for 9th-12th band courses.<br />
-There will have to be a band class offered at every middle school in Guilford County.<br />
-The class codes that you teach now will not be existent any more<br />
-There will be a beginner, proficient, intermediate, and advanced level classes.  Students can choose advanced honors course pathway when this is effective in the 2012/2013 school year.  Right now there is not separate course codes for the levels of classes.</p>
<p>Note: If you are teaching an Honors Courses make sure you are differentiated instruction for those students because right now DPI is auditing arts education classes.   Beginning band will be offered in high school.  High school students will also have to keep up with a portfolio throughout high school.</p>
<p>21st Century Skills: On the Sharepoint- Please read the ideas because they can be helpful<br />
Global Awareness: Hymn of the Fallen; American Elegy; Pick some music that was inspired by Global Awareness and present it’s relevant to your students.  Invite guest speakers from other cultures.</p>
<p>Senate Bill 66: Part of this bill outlines guidelines for requirements for Arts Education.  We should offer theater, art, dance, music at the middle school level.</p>
<p><strong>Race to the Top</strong><br />
-9.9 million dollars in Federal Funds for Guilford County.<br />
-There is an assessment component.  We don’t know what the arts assessment looks like and if it will come from the state or district or if we can got to contest and receive a rating.   -The test shows that your students grow.<br />
-There will be a pretest and a post test.</p>
<p><strong>CDBA New Audition Rubric<br />

Stefan- are the going to have a separate rubric for percussion?<br />
Jeremy- No. They are working on them but will not be ready for January’s Audition.<br />
The areas of focus on the rubric are: Scales- Tone, Breath Support, Pitch/Intonation, Pitch Center, Articulations, Note Release, Pulse Control, Rhythmic Accuracy.<br />
You will have to know what the rubric says before you come in to judge.<br />
Andy-If it is half in one category and half is in another category?<br />
Jeremy- it is up to the judge what he values more.<br />
Stefan- But the rubric is clear cut how can you give your opinion?<br />
Jeremy- Its up to personal preference.<br />

All registration for CDBA will be online.  The due date is December the 8th.  There will be no on site the day of registration.  There will be no late registration.  There will be a $10 fee per school and $8 per student.<br />

Open Questions:</strong><br />
Nathan- Does everyone understand the new teacher evaluation? The meetings are open to anyone that would like to give presentation for their leadership component.<br />
Ed- Can we as a group go through and adopt music and method books for the text book list?<br />
Nathan- We already have one.  There is no one getting text book money this year or next.<br />
Stefan- years ago we went through the text book adoption but no one bought it.  They picked the Yamaha Band Student.<br />
Nathan- I would like to see the state contest lists to be adopted.<br />
Nathan- We are using a DVD Company this year not the county people.  We see $5 from each DVD that will go back into<br />
Jeremy- Can you send out the sub code for All County?<br />
Nathan- I’ll send it in email.<br />

Nathan- On the new evaluation system you have to present that you are showing leadership.  You can present a lesson to the directors to fulfill that element of the new teacher evaluation.</p>

Robyn: Is there anything about requiring middle schools to do marching bands?<br />
-Nathan: no, it is not apart of the standard course of study.<br />
Juli: Is heading up recognition committee.<br />
Ed: Heard that no schools are allowed to go on field trips during April or May.<br />
-Nathan: It is a regional superintendents issue.  Central region is not allowing field trips after spring break.  GCS has approved motor coach company and we have to use them.  It is an insurance issue.<br />
Nathan: Dennis Askew of the Judges for the Jamboree is unable to do it next week so Dr. Stephen Edwards at Catawba College is going to fill in.<br />
Kristen- Has made scale sheets for All County band. When they are finished she will send to Nathan to put on the Sharepoint.</p>

<p>Nathan Street- Arts Curriculum Specialist</p>
<h2>Summer Arts Institute</h2>
<p>-It turned out to be a great event<br />
-Bernie Hall worked with us.<br />
-Next year we want you to nominate more students<br />
-Going up to grade 10 and going down to grade 3.<br />
- We have took your recommendations and make a pamphlet and the students will fill out and you will nominate the students from there.<br />
Penn Griffin’s auditorium holds about 450 people  and we packed in over 600<br />
-Some thought a week wasn’t long enough so this year we are going two weeks<br />
- The directors that volunteer to write curriculum for GEMS will correspond with the Institute dates.<br />
- Right now there are a few middle school band lesson plans on GEMS<br />
-Last year the directors that volunteered received $500 to come in and write plans and they got 3 CEU. This year we can only take 15 people.</p>
<h2>Willy Wonka Musical</h2>
<p>-Willy Wonka went really well this summer.<br />
- The Orchestra was made up of some students and the rest we had to hire out.<br />
-Chuck Capps Conducted and Tina Barber played in the pit.<br />
-We want more of you next year.<br />
-Next year’s musical will possibly be the Music Man.<br />
-Mo Was very into what we did and thought it was a positive experience.</p>
<h2>Instrument Repairs</h2>
<p>-There is budget this year.<br />
-$1500 per band and orchestra.  If you are going to go over you have to let Nathan know.<br />
-Last year we spent over $100,000 on instrument repairs.<br />
-$60,000 is the budget for next year.</p>
<h3>Open Discussion:</h3>
<p>Ashley- How are we going to keep up with how much we spent?<br />
Nathan- That will be up to who does the repairs.  Music and Arts does the repairs for the eastern part of the county. We may have to pull money from other sources if you run out.<br />
Christina- I am afraid that I am going to run out of money.<br />
Nathan- Please send any instruments back if they have not been fixed.<br />
Andy- What is our allotted money for new instrument purchases?<br />
Nathan- That money comes from individual schools- instructional money 60% of what it was due to budget cuts.  You should ask principals now.  If the schools can’t do anything then we (GCS) have the uniform money, if they don’t spend all the allotted money then we can use it for more instruments.  If an instrument in your inventory is not usable then a new one should be purchased.<br />
Andy- When a new school is opened will they get new instruments?<br />
Nathan- there is.  Schools that are relocating do not receive new instruments.  There is a baseline instrument supply is available that is modeled after other school systems.  Nathan will send out to the directors.<br />
Gregory- Who decides which schools get new uniforms?<br />
Nathan- There is a rotation list and I have it.<br />
Continued discussion on instrument repairs:<br />
Nathan- July starts the new fiscal year.<br />
-We modeled our budget after Winston Salem.<br />
Rodney- Does the budget include piano tunings?<br />
Nathan- I don’t know we will have to check.<br />
We use Feeny, feenync@aol.com, for piano tunings for $85. Still go through Maintenance for requests and contact him separately.<br />
-Chorus does not get a budget.</p>

-SS4 form will need to be completed and turned in.<br />
-Keep your program in case GCS asks for it 5 years down the road if an audit occurs.<br />

<p>Trent- Read the letter/email that J.Ray sent out today.<br />
-Don’t arrive before 4<br />
-Pass out the maps to parents<br />
-Parents can follow buses to bus lot only if they have equipment otherwise park in spectator lot<br />
-Only way to stadium now is through the gym<br />
-If you need other instruments then provided then let J.Ray know.<br />
-If you need a place to prepare props let J.Ray know<br />
-Hospitably tent available for directors and staff<br />
-They ask you to stay the entire time<br />
Question: How much to bring?<br />
Trent- Hot Dogs Burgers $2-3 -Typical concession prices<br />
-The layout of the bus lot is better then before. Getting in you will have to be patient.<br />
-If you can come in behind the school you may have an easier time.<br />
Question: How far away is the warm up areas from the parking lot?<br />
Trent- Bands will be facing away from the stadium and it should not affect the performances.<br />
Question: How will our Guides find us?<br />
Trent- If your there and in the stands meet at the times and places that were given.<br />
-There will be power available.<br />
-GCS will be taping and will broadcast.  They can provide one copy of the entire show to each director.<br />
-Talk to students and parents and explain that this is not a competition and that we are going to support each other. Cheer for each other.<br />
-Not going to do the mass band this year.<br />

<p>-Chuck- I use Smart Music and have a playing test every Friday. Students send their scores to me.<br />

Andy- Does test on their music and in orchestra a skill test on vibrato, full bow, bowing technique. Has trouble doing same for band because they are different techniques for different instruments.<br />

<h2>GCS Bands Research Study</h2>
<p>-It’s time to do an updated research study. Last one was done over 10 years ago by Alan Parker.<br />
-What he needs form us is what connections we want to find out from our classrooms.<br />
Andy- the effects of AP classes and involvement in band.  Band commitment and AP Courses and Other Sports.<br />
-Alan Parker’s study focused on graduation rates and involvement in activities.<br />
-Scholarship money and band/arts students.<br />
-Band students and their relationship to office referrals.<br />
Rodney- What is going on at the elementary schools?<br />
- IB program and students taking band can’t do all four years.<br />
-Participation in the arts over all four years of high school.</p>
<h2>High School Graduation Requirement Bill:</h2>
<p>Becky Carney Representative from Charlotte/Mecklenburg County. Proposed Graduation Requirement: All Four Arts offered at middle and every elementary schools has art and music.  Stay in contact with representatives so that they vote and support this. Middle school component will be the most expensive to support to have band, chorus, art, and dance offered.</p>

<li>Andy- For orchestra he looks at last year’s AC Band audition results and asked students, in order, if they would like to participate</li>

<p>When auditions are judged Chuck will give the tapes a number so the judges don’t know who the students are.</p>

<h2><strong>Ed Kimbrough’s notes from College Admissions Talk<br />
</strong></h2>

<p>There is no “Secret Formula” for college admission at UNCCH.  It’s a holistic review.   The admissions process is like a stool with four legs and a seat.  The five areas include academic performance, essays, recommendations, test scores, and extra-curricular activities.  The stool needs its seat as well as all four legs.</p>
<p>They look for a broad foundation in core subject areas and expect the best you can do where you are.  Students must meet the minimum requirements. Students admitted to UNC usually exceed requirements.  The minimum requirement for foreign language is two years.  Many students are accepted with only two years although many others take more.  Admissions officials understand scheduling constraints.  Arts and AP’s are not mutually exclusive.  You can take arts classes which can be attractive provided that you take advantage of the rigor offered at your school.  Some students may want to take advantage of on-line courses such as NCVPS (North Carolina Virtual Public School).</p>
<p>AP’s in multiple subject areas is preferred. UNCCH accepts students into the College of Arts and Sciences, not a particular “school”.  If you plan to study pre med for instance, it doesn’t bolster your case to have a ton of AP sciences, because you’re not accepted into a pre med program, you’re accepted into the college of arts and sciences.  UNCCH values the well-rounded student.</p>
<p>IB and AP diplomas, while attractive, are not necessarily preferred. They are merely pre-packaged rigor.  Your curriculum can be rigorous without a pre-packaged title.   You do, however need to take advantage of the rigor offered at your school.</p>
<p><strong>There is definitely room for music and arts in your resume.  Use your essays and recommendations to “tell your story”.  UNCCH is looking for students who can write well in an engaging way.  Show how you’re well-rounded beyond your GPA and test scores.  <span style="text-decoration: underline;">Your voice must come through in your essay!</span> Tell about your passions, your leadership, some of the challenges you have overcome.  If you had to make curricular choices due to your passions and/or scheduling constraints, explain in your essays.  If you did a senior project that reflects those passions, explain it.  <span style="text-decoration: underline;">TELL YOUR STORY!!!</span></strong></p>
<p><strong><span style="text-decoration: underline;"> </span></strong></p>
<p>One of the big misconceptions is that UNCCH looks at your GPA.  This is not true.  They look at the un-weighted “letter grade”.   They do expect you to take rigorous classes and expect more A’s than B’s, more B’s than C’s.  Students with C’s do not often get into UNCCH.  <strong>Take rigorous classes along with your arts classes and do well in them! </strong> It does not help your case to take an AP class then get a C or D thinking that a “B” is a 5.0 and a “C” a 4.0.  It doesn’t work that way, although they do want to see you take the more rigorous course.</p>
<p>They consider your high school experience much more than your SAT score.  “The SAT represents four hours on a Saturday. Your high school transcript represents four years of work.</p>
<p>Athletes, artists, musicians, participants in student government are not favored over each other.  UNCCH wants to admit a well-rounded class.</p>
<p>Think of your high school experience as a cupcake.  Your academic performance is the cake, your test scores might be the icing and the extra-curricular activities might be the sprinkles.  The sprinkles are part of what makes the cupcake exciting!   Pursue your passions and do your best.</p>
