Inventory Due Dec. 1st

Hello all,

I know many of you are completely engaged in summer activities but I want to give you enough time to complete this task. I have been in meetings all last week and this week regarding school owned property. I have searched the arts education files and found inventories from 2003 but not after. I am requesting a copy of your inventory and will need it by December 1, 2008. That gives you a little less than 7 months to complete one if you do not currently have one. Also, keep in mind that this inventory must be up-to-date. For your benefit, please do not submit an inventory that is old. If there are instruments on a previous inventory that are now missing, please list that instrument and label it missing.

Please include the following information:

Instruments:

  • Instrument type
  • brand
  • serial number (if possible)
  • current condition

If the instrument is missing a part, please include that as well. If the case is missing, please indicate this.

Music:

Please make sure you are cataloging all the music your school or your boosters purchase. Please note that any instruments or music your boosters purchase is school property. Whether you know it or not, and Hal Bryant will echo this statement, your biggest investment in that music department is the music.

Please include:

  • Title
  • Composer/Arranger

If the piece is missing, please list the piece and indicate it is missing. I do not need to know any missing parts. If you have multiple copies of the piece, indicate this as well.

I know this is a tremendous amount of things to get accomplished particularly if you do not already have an inventory together. Believe me, this will be for your benefit to keep this inventory up-to-date and submitted to the county office.

If you have an electronic copy, please send it electronically. If you only have a hard copy, send me a copy through the courier to the address below. I would also encourage you to make a back-up copy and keep one at home in the event of a disaster. In addition, I encourage you to minimize the amount of personal property you keep in your rooms. Unfortunately, the school will not reimburse you for your items that have been stolen.
